How AI-Konform works

Four roles, one clear path: management sets things up, authorized users manage teams, accounting keeps costs in view, employees complete the training. And everything is documented automatically and verifiably.

Up and running in a few steps

AI-Konform is designed so that companies of any size can be operational within a single working day. No lengthy onboarding, no IT installation: everything runs in the browser, and data and hosting are based in the EU (Frankfurt region, GDPR-compliant).

  • Step 1 — Create account and organisation: Management registers the company in a matter of minutes. Company details, department structure and access rights are set up once, as the foundation for all subsequent steps.
  • Step 2 — Set up teams and departments: Authorized users (e.g. department heads) are invited and add employees, either individually or via a list import. Training can then be requested for specific individuals or entire departments.
  • Step 3 — Complete the training: Every invited person receives a personal access code and works through four lessons (AI basics, the EU AI Act, safe use of AI, AI in everyday work) including a quiz in their own language. The time required is approximately 30 to 60 minutes, flexible and also usable on mobile devices.
  • Step 4 — Certificate and audit report: After passing the training, a personal certificate of participation is issued automatically and stored securely. At the same time, the platform generates an ISO 27001-compliant audit report for the entire company.
  • Step 5 — Track progress and export proof: The dashboard shows the compliance score at company and department level in real time. All training records can be exported as CSV or PDF, ready to use for authorities, audits or internal documentation.

Inviting employees without their own account

A common obstacle with digital training solutions is the requirement for every individual to create their own account. AI-Konform takes a fundamentally different approach: employees need neither their own user account nor an email address. Instead, they receive a personal access code with which they log in directly to the EU AI Act training.

This significantly lowers the barrier to participation, particularly in organisations whose workforce has limited familiarity with digital tools or does not have a company email address. Administration remains entirely with the authorized users: they add employees, request training and track their department's progress. Employees themselves need only the code and a browser.

Certificate and verifiable proof

The EU AI Act requires demonstrable AI literacy under Article 4, and has done so since 2 February 2025. This means a company must not only train its staff, but also be able to demonstrate that training took place, who participated and when. Proof that has not been documented is, in case of doubt, treated as non-existent.

AI-Konform creates this proof fully automatically. After every completed training session, a personal certificate is generated. At company level, an additional ISO 27001-compliant audit report is available, documenting all certified employees, training dates and department assignments, as a structured export for internal compliance processes, external audits or responses to regulatory enquiries.

The AI literacy obligation under Article 4 of the EU AI Act has applied since 2 February 2025 to virtually all companies that use AI professionally, regardless of size or sector. More: Art. 4 — AI literacy obligation.

Keeping track: roles, compliance score, export

AI-Konform maps the real responsibilities within a company into four roles. Each role has exactly the permissions it needs for its tasks, no more and no less:

Management

Creates the company and departments, assigns roles and sees the compliance score for the entire company as well as all audit reports.

Authorized users

Manage their department independently: add employees, request training and view their department's progress.

Accounting

Books billing plans (training credits or savings plan), views consumption per department and all transactions, without access to personal data.

Employees

Sign in with a personal access code, complete the training in their language and receive a certificate, without their own account.

The Compliance Score shows at company and department level in real time what proportion of the workforce is already certified. All proof can be exported at any time as CSV or PDF. The platform is available in 26 languages — from German and English to all official EU languages — so that international teams can be trained without language barriers.

Billing is available either via training credits (a pre-purchased allowance that is used up when training starts) or a savings plan (volume discount for larger contingents). Pricing is available on request; no public list prices are published deliberately, as requirements vary greatly depending on company size and training frequency.

Frequently asked questions

Do employees need to complete the training in one go?

No. The four lessons can be paused and resumed at a later point. Progress is saved. The full course takes approximately 30 to 60 minutes per person and can easily be fitted into work breaks or between appointments. More about the course structure can be found on the training page.

What happens if the EU AI Act is updated?

Certificates document the time of training in an audit-proof manner. They do not automatically lose their validity when the legislator makes amendments. If course content is revised due to legal changes, existing companies will be informed so that they can decide whether to arrange a refresher training.
